Privacy Policy

1. Scope

This Privacy Policy explains how EaseHawk Technologies Private Limited ("EaseHawk", "we") collects, uses, shares and protects personal data when you use the MoxFinance websites and services. It is written to align with the UAE Personal Data Protection Law (PDPL), the Saudi PDPL, India's Digital Personal Data Protection Act (DPDP), and UK GDPR, as applicable to where you are.

2. What we collect

  • Account data — name, work email, phone, company, role, country/state, credentials.
  • Customer content — the financial records your organisation submits: invoices, bills, receipts, bank statements, ledgers, budgets, customer and vendor records, and documents you upload for extraction.
  • Usage data — device, browser, IP address, pages viewed, feature interactions, and diagnostic logs.
  • Communications — demo requests, support tickets and correspondence.

3. How we use data

We use personal data to: provide, secure and support the Service; process documents and transactions you submit (including AI-assisted extraction, categorisation, reconciliation and forecasting); manage accounts and billing; respond to enquiries; improve reliability and features; and meet legal obligations. Where consent is the applicable basis (for example certain marketing or cookies), we ask for it and you may withdraw it at any time.

4. AI processing

AI Features process Customer content to generate drafts, suggestions and predictions for your review. Model outputs are surfaced to authorised users of your organisation only. We do not use your Customer content to train models made available to other customers without your explicit agreement.

5. Legal bases

Depending on your jurisdiction, we rely on: performance of a contract (providing the Service); legitimate interests (security, service improvement, B2B communications); consent (where required, e.g. marketing, non-essential cookies); and legal obligation (tax, accounting, lawful requests).

6. Sharing

We share personal data only with: (a) service providers under contract (hosting, communications, analytics, payment processing) acting on our instructions; (b) integrations you enable (for example your bank feeds or e-invoicing gateways); (c) professional advisers; (d) authorities where legally required; and (e) a successor entity in a corporate transaction, with notice. We do not sell personal data.

7. International transfers

Data may be processed in countries other than yours, including India and cloud regions used to serve GCC and UK customers. Where required, transfers are protected by appropriate safeguards such as contractual clauses or local hosting arrangements.

8. Security

We apply administrative, technical and organisational measures appropriate to the risk, including encryption in transit, access controls, audit logging and environment separation. No system is perfectly secure; we will notify you of personal-data breaches as required by applicable law.

9. Retention

We keep account data for the life of the account plus a limited wind-down period; Customer content for the subscription term plus a 30-day export window; and records we must keep for tax, accounting or legal defence for the periods required by law. We then delete or irreversibly anonymise data.

10. Your rights

Subject to your jurisdiction, you may have rights to access, correct, delete, port, or restrict processing of your personal data, to object to certain processing, and to withdraw consent. Organisational customers control Customer content; if you are an end user of a customer, we may direct your request to them. To exercise rights, contact us using the details below. You may also complain to your supervisory authority.

12. Children

The Service is a business tool and is not directed to children. We do not knowingly collect personal data from anyone under 18.

13. Changes

We will post updates here and, for material changes, notify you by email or in-product notice before they take effect.
